Complex quote follow-up
Inbound Quotes - For technical or diagnostic work where Shaun needs to speak to the customer before a quote can go out
When to use: A customer has enquired about complex or diagnostic work and has not answered when called. Shaun has left a voicemail. Send this email straight after the voicemail to back it up. This template is always sent from Shaun directly. Replace [CUSTNAME] before sending.
Warm and apologetic - Leads with the apology for the delay, introduces Shaun as technical director, explains clearly why a conversation is needed before the quote can go out and what the customer gets from that conversation. Best used as the default for most complex enquiries.

Hi [CUSTNAME],
It’s Shaun here, Technical Director at Fergies. I just tried to give you a call and left you a voicemail - apologies for the delay in getting back to you, we have been extremely busy here and I wanted to make sure I was the one to speak to you rather than rush it.
The reason I wanted to have a chat personally is that the work you have enquired about is quite specialised and before I can put an accurate quote together, I need to ask you a few technical questions about your vehicle and exactly what has been happening with it. It only takes a few minutes but it makes a big difference to the quality of the quote we can give you.
As soon as we have had that conversation I will get straight on it and have a quote over to you as quickly as possible.
Give me a call back on 01635 778002 whenever suits you, or reply to this email and we can arrange a good time to speak.
Direct and professional - Less apology, gets straight to the point. Explains that complex work needs a technical conversation before quoting and positions this as being in the customer’s interest. Best used when the enquiry came in recently and the delay is minimal.

Hi [CUSTNAME],
It’s Shaun here, Technical Director at Fergies. I tried calling you earlier and left a voicemail - I just wanted to follow up with an email as well so you have my details.
The work you have enquired about is the kind of job where I need to have a quick technical conversation with you before I can put a proper quote together. It is not something our front of house team can quote on without that context, and I would rather spend five minutes on the phone with you and give you an accurate price than guess and get it wrong.
Once we have had a chat I will get a quote over to you straight away.
Give me a call on 01635 778002 whenever suits or reply here and we will find a good time.
Short and personal - Two or three lines, very human. Shaun reaching out directly, no fuss, just a quick request for a callback to get things moving. Best used when you want to keep it light and conversational.
