The Parts Manager is responsible for every aspect of parts at Fergies — from the moment a technician identifies a requirement through to the part arriving on the vehicle. They work at peer level alongside the Workshop Manager, and their ability to source the right part, at the right time, at the right price is fundamental to the workshop running efficiently. They also support the front of house team with accurate parts pricing for quotes.
- All parts confirmed on site at least 48 hours before the job is due — no exceptions
- The workshop never stops work due to a parts delay that could have been avoided
- Every related part is identified and ordered proactively — not just the requested item
- All one-use items — stretch bolts, gaskets and seals — are ordered as standard for every relevant job
- Every part sourced meets the Fergies quality standard — genuine or OE, no exceptions without approval
All parts for a booked job must be confirmed on site a minimum of 48 hours before the vehicle is due in. If any part cannot be confirmed within this window, the Workshop Manager and front of house must be notified immediately.
When a job is booked, the Parts Manager must think beyond the requested item. A booking for brake pads must trigger an order for discs, caliper sliders, brake cleaner and any associated hardware. A timing belt replacement must include the tensioner, idler and water pump as standard.
All single-use components must be ordered as standard for every job that requires them. This includes stretch bolts, gaskets and seals. These items are never reused at Fergies and must be on site before the job begins.
- Source all parts in line with the Fergies parts policy
- Place orders with the correct suppliers and confirm delivery timescales to the workshop and front of house
- Monitor outstanding orders and chase proactively to prevent workshop delays
- Provide accurate parts pricing to the front of house team for customer quotes same day
- Manage all parts returns and credits with suppliers promptly
- Keep the parts area clean, organised and professionally maintained at all times
Every part fitted to a customer's vehicle must meet the Fergies quality standard. This policy exists to protect the customer, protect the business and uphold the Fergies reputation as a specialist that operates to manufacturer standards.
The default and preferred source for all parts. Always the first choice across all BMW, Mercedes, Volkswagen Group, Porsche, Jaguar and Land Rover vehicles.
Used where genuine manufacturer parts are unavailable or have an excessive lead time. OE parts are manufactured to the same specification as the genuine part by the original supplier. Only approved OE suppliers are permitted.
Used only when genuine or OE parts are no longer available — typically older or discontinued models. Any aftermarket part must be from a pre-approved brand list agreed with the owner. The customer must be informed and must consent before an aftermarket part is fitted.
- No part may be sourced purely on cost grounds if a higher-tier option is available
- Any deviation from Tier 1 or Tier 2 must be flagged to the Workshop Manager and owner
- Approved aftermarket brand list is held by the owner and reviewed annually
- The 48-hour rule is non-negotiable — parts are never ordered at the last minute if a job can be anticipated
- Thinks beyond the requested part — always considers what else the job will need before ordering
- Never misses a one-use item — stretch bolts, gaskets and seals are ordered as standard, not as an afterthought
- Never sources a part below the Fergies quality standard without explicit approval
- Communicates proactively — the workshop and front of house always know the status of outstanding parts
- Maintains the parts area to the same standard expected everywhere else in the Fergies facility
- Treats supplier relationships as an asset — professional, fair and commercially aware at all times
