Quote Rejections · Use the tone that best fits how many times you have quoted and how you want to leave things
When to use: A customer has requested a few quotes from Fergies but has never proceeded to book any work in. Use the tone that reflects how many times you have quoted and your read of the situation. Replace all [placeholders] before sending.
Warm, open door - Reminds them what Fergies offers, genuinely asks for feedback on what has held them back, and leaves the door wide open. Best used early in the pattern - perhaps after a second or third quote - when you still believe there is a real chance of winning them.

We’d love to know what you think
Email body
Hi [CUSTNAME],
Thank you for getting back in touch - it’s always good to hear from you.
We’ve had the pleasure of putting a few quotes together for you now, and we genuinely hope we’ve been helpful each time. We have not yet had the chance to look after your car, and before we put another quote together we just wanted to check in.
Is there anything that has held you back from proceeding with us? Whether it was price, timing, something about the quote itself, or anything else entirely - we would genuinely love to know. Feedback like that helps us make sure the next quote we put together really fits what you need, and it helps us understand whether there is anything we can do better.
We are very much hoping to have the chance to look after your vehicle, and if there is anything we can do to help make that happen, please do let us know.
Friendly qualifier - Acknowledges the pattern directly but without pressure. Asks for feedback and makes clear you are happy to quote again once you understand what has held them back. Best used when the pattern is established but the relationship feels positive.

A quick question before we quote again
Email body
Hi [CUSTNAME],
Thank you for getting in touch.
We have put a few quotes together for you now and we have not yet had the chance to carry out any work on your vehicle. That is absolutely fine, but before we put the team on preparing another one, we just wanted to ask a quick question.
Is there something specific that has stopped you proceeding with us previously? Whether it was price, timing, or something else, your feedback would be genuinely useful to us. It will help us make sure the next quote we prepare is actually the right fit for what you need.
Once we have a better understanding of where things stand, we will be happy to get a fresh quote across to you.
Polite close - Steps back from quoting further for now. Warm and respectful, with no hard feelings. Leaves a small opening should the customer want to come back on different terms. Best used when the pattern is well established and continuing to quote no longer feels like good use of the team’s time.

Your recent quote request - Fergies
Email body
Hi [CUSTNAME],
Thank you for getting in touch again regarding your vehicle.
We have put a few quotes together for you over the past little while and we have not yet had the opportunity to carry out any work on your car. We genuinely appreciate you thinking of us each time.
On reflection, we feel the time our team puts into preparing a quote is best invested where there is a clear intention to proceed, and we are not sure we are quite there yet with your enquiries. We do not want to waste your time or ours, so on this occasion we are going to step back from quoting further.
If anything changes and you feel Fergies might be the right fit for what you need going forward, please do not hesitate to get back in touch. We would always be happy to have that conversation.
We wish you all the best with your vehicle.
